The Health & Welfare Benefits Analyst identifies errors through benefit inquiries and manages the vendor’s execution of systemic and/or process improvements. Recommends efficiencies that may result in plan design changes for increased associate satisfaction. This position will also provide support for the integration process for mergers and acquisitions. Recommendations for process improvements will be reviewed and approved by Department Managers and the Director of Benefits.

This position reports to the Manager of Business Administration but works closely with all AutoNation Benefits Company personnel. This position also interacts closely with AutoNation’s legal department as well as is in contact with the benefits outsourcing vendor, health and welfare plan contacts and region/corporate HR personnel.

Job Responsibilities:

  • Research and perform root cause analysis to determine validity of employee benefit inquiries and second level appeals to prepare a response and recommendation for second level appeals.

  • Identify errors through benefit inquiries and manage the vendor’s execution of systemic and/or process improvements. 

  • Manage the tracking of such error resolution for refunds of fees from vendor, if applicable. 

  • Participate in open items weekly calls with the third-party benefit administrator to review errors and error resolution status. 

  • Responsible for coaching and training the benefit call center representatives to ensure correct information is provided to associates.

  • Develop and execute benefit administration audits to include identification of issues and provide recommendations for corrections and/or improvements based on audit results.

  • Independently manage benefit projects including, but not limited to, annual CMS audit and regulatory compliance.

  • Evaluate appeals from store and market management regarding retroactive termination and leave of absence late charges.

  • Create quarterly trend Power Point presentation and present findings to Vice President of Benefits.

  • Review third party benefit requirement documents with Benefits Manager and provide edits as needed due to process and benefit plan changes.

  • Provide support to Benefits Manager during Annual Enrollment (AE) including tasks such as system testing, communications, creation of the benefits deadline calendar, and other Annual Enrollment tasks.

  • Compile, review and validate census and other data needed for third-party benefits administrator for acquisitions, mergers, and divestures.

  • Responsible for testing the third-party benefit administrator site prior to an acquisition enrollment and Annual Enrollment. This includes creating an Excel-based calculator to test rates and benefit amounts based on plan design changes.

  • Assist in managing third-party benefit administrator progress for system updates and corrections prior to Annual Enrollment go-live.

  • Coordinate and schedule training sessions, webinars, and other assigned tasks as requested by the Benefit Managers.

  • Responsible for the first round of review of benefit plan requirements and employee communications on an annual basis.

  • Coordinate annual plan earnings process (APE) and testing on an annual basis. This includes working with the AutoNation HRIS team and the third-party benefit administrator to ensure all job codes and salary amounts are correct. This also includes reviewing and updating the APE requirements and validating that the APE process was run in compliance with the requirements.

  • Responsible for reviewing errors in Workday that can negatively impact benefit records. Work with payroll and HRIS team to make corrections and ensure minimal impact to associate records.

Qualifications Mandatory:

  • Bachelor’s degree in HR, Business Administration or related field of study or any equivalent combination of relevant background, skills, and experience

  • 3-5 years of either related experience or equivalent education

  • Proficient in office technology, specifically Excel, pivot tables, Power Point, Word, and other applications

  • Evidence of successful on-time delivery of data analysis reports

  • Excellent time management skills to manage multiple assignments simultaneously

  • Proficient in proof reading

  • Strong interpersonal communication skills

  • Workday experience strongly preferred
