The Administrative Assistant position has the opportunity to provide administrative support to the General Manager and dealership staff. This role requires juggling many priorities, communication and follow-up throughout the day, to facilitate the efficient operation of the dealership.   

Organizational Relationships:

Position interacts with all lines of business within AutoNation as well as with external customers, vendors, and other constituents.

Job Responsibilities:

  • Manage assigned leader’s calendar, including arranging meetings and coordinating appointments. Support optimization of leader’s time and schedule.
  • Coordinate and manage travel itineraries including expense report management.
  • Support leader with meeting preparation by ensuring appropriate materials are provided in a timely manner.
  • Create regular reports and presentation on HR metrics.
  • Organize, execute, and assist with team activities (staff meeting agendas, town-hall meetings, off-sites, and team social/events.
  • Track and help drive completion of key deliverables and follow up on outstanding items (including meeting notes and action items)
  • Ensure department communications are sent out accurately and timely.
  • Review, track and manage department invoices in a timely fashion.
  • Order department supplies as needed.
  • Coordinate event planning, including facilitating conference room reservations and assisting with space conflicts.
  • Assist executive office as needed.
  • Simultaneously execute a wide range of activities and requests.
  • Demonstrate behaviors consistent with the Company’s Vision, Mission, and Values in all interactions with customers, co-workers, and suppliers.
  • Adheres to all company policies, procedures, and safety standards

Qualifications:

  • Ability to demonstrate initiative, flexibility, and a willingness to pitch-in as needed.
  • Minimum 5 years working in an administrative support position within a professional office environment.
  • Ability to maintain strict confidentiality and discretion in all aspects.
  • Exemplary interpersonal skills. Must be able to communicate effectively with all levels of associates and with representatives outside of AutoNation.
  • Demonstrated team player and flexible demeanor to function successfully in a dynamic environment.
  • Intermediate to advanced working knowledge of MS Office Suite.
  • Demonstrated organizational skills with ability to prioritize workload and multi-task when needed.
  • Excellent follow-up skills with ability to anticipate needs and demonstrate excellent judgement.
